Allow prospects to schedule meetings directly while submitting a form. Booking Forms combine lead capture with calendar scheduling to streamline appointment booking.

Overview

Booking Forms extend the standard ClosingDealz Forms by adding a built-in scheduling interface.

Visitors first select an available meeting time from your calendar. After choosing a time slot, they proceed to complete the form fields. Once submitted, the meeting is scheduled and the lead is automatically created inside your CRM.

This allows agencies to:

  • Capture qualified leads
  • Automatically schedule discovery calls
  • Eliminate manual scheduling

How Booking Forms Work

The booking process occurs in two steps.

Step 1: Time Selection

Visitors select a date and available time slot from your scheduling calendar.

The available times are determined by:

  • Your availability schedule
  • Minimum notice rules
  • Daily meeting limits
  • Meeting buffers
  • Booking window restrictions

Step 2: Form Submission

After selecting a time, the visitor completes the form fields you configured.

Once submitted:

  • A meeting is scheduled
  • A lead is created in your CRM
  • Automation or AI follow-up can be triggered

Meeting Settings

Meeting settings control how bookings are scheduled and managed.

Meeting Duration

Defines the length of the meeting in minutes.

Example: 30 minutes

Meeting Location

Specify where the meeting takes place.

Examples:

  • Zoom link
  • Google Meet
  • Office address
  • Phone call

If Create Video Meeting Link is enabled, the meeting link will be generated automatically.

Assigned Meeting User

The team member responsible for the meeting.

All scheduled meetings will be assigned to this user.

Scheduling Rules

These rules control when meetings can be booked.

Minimum Notice

Defines the minimum amount of time required before a meeting can be scheduled.

Example:

If the minimum notice is 240 minutes, meetings cannot be booked within the next 4 hours.

Maximum Meetings Per Day

Limits the number of meetings that can be scheduled per day.

This helps prevent calendar overload.

Time Slot Increment

Controls the interval between available booking times.

Example:

If set to 30 minutes, available slots may appear as:

  • 09:00
  • 09:30
  • 10:00
  • 10:30

Buffer Before Meeting

Adds a buffer period before each meeting.

Example:

A 15 minute buffer prevents another meeting from being scheduled immediately before the current meeting.

Buffer After Meeting

Adds a break after each meeting.

This ensures time between calls for preparation or follow up.

Booking Window

Defines how far into the future meetings can be scheduled.

Example:

If set to 31 days, visitors can only book meetings within the next 31 days.

Meeting Availability

Define the days and hours when meetings can be scheduled.

Example availability:

Only times within these windows will appear as selectable booking slots.

Form Fields

Booking Forms support all standard form fields available in ClosingDealz Forms, including:

Lead fields:

  • First Name
  • Last Name
  • Email
  • Phone Number

Custom fields:

  • One Line
  • Multiple Lines
  • Dropdown
  • Radio Buttons
  • Checkboxes

All submitted information is stored in the lead profile inside your CRM.

Embedding the Booking Form

Booking forms can be embedded on any website.

Steps:

  1. Create and configure your booking form
  2. Copy the embed code
  3. Paste the script into your website
  4. Publish your page

Visitors will see the booking calendar followed by the form fields.
